Effective date: 19 Sept 2026
Introduction
This policy explains how Edmund Casterton, trading as ETDC Digital Media (“we”, “us”, “our”), collects, uses and protects personal data when you visit www.etdcdigitalmedia.com, contact us, or sign up to our newsletter. It is written to meet the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
ETDC Digital Media is a sole trader business. For data protection purposes, Edmund Casterton is the data controller for the personal data described in this policy.
This policy currently covers UK-based visitors and clients only. ETDC Digital Media does not currently offer services to, or specifically target, individuals based in the EU.
What personal data we collect
We collect personal data directly from you, in two ways:
- When you get in touch — through our website contact form or by emailing us directly, we collect your name, email address, organisation, and the contents of your message.
- When you sign up to our newsletter — we collect your email address only.
We do not currently use tracking pixels (e.g. Meta or LinkedIn ads pixels), live chat tools, or a separate CRM. Beyond the data above and standard website analytics (see “Cookies and website analytics” below), we do not collect any other personal data about you.
Legal basis for processing
We rely on the following lawful bases under Article 6 of the UK GDPR:
- Enquiries — legitimate interests: responding to enquiries people send us directly is a reasonable and expected part of running a business that invites contact.
- Newsletter — consent: you actively opt in to receive our newsletter, and can withdraw that consent at any time by unsubscribing.
- Website analytics — consent, given via our cookie banner (see “Cookies and website analytics” below), except for any strictly necessary cookies, which do not require consent.
You are free to withhold your data, but we will not be able to respond to your enquiry or send you our newsletter without it.
Newsletter
If you subscribe to our newsletter, we collect and store your email address using MailPoet, a newsletter plugin installed on our website. MailPoet processes this data on our behalf as our data processor.
We only send newsletters to people who have actively subscribed, and every email includes an unsubscribe link. When you unsubscribe, your email address is removed from our active subscriber list.
Enquiries
When you contact us — through the website contact form or by emailing us directly — we collect your name, email address, organisation, and enquiry message, so we can respond to you.
Enquiry details go straight to our email inbox (teddie@etdcdigitalmedia.com). We do not copy this information into a separate database, CRM, or spreadsheet — it stays within our email account. You can ask us to delete a specific enquiry at any time (see “Your rights” below).
Cookies and website analytics
Our website uses cookies and similar technologies:
- Google Analytics — helps us understand how visitors use our site (e.g. pages visited, time on site, general location). This sets cookies that collect information about your device and browsing behaviour.
- Google Search Console — helps us monitor and improve how our site appears in Google Search. It does not set cookies on your device in the way Analytics does.
Under the Privacy and Electronic Communications Regulations (PECR), non-essential cookies such as Google Analytics generally require your consent before they are set. You will be shown a banner on your first visit allowing you to accept or reject non-essential cookies; Analytics cookies will only be set if you accept.
You can also control or delete cookies at any time through your browser settings. Blocking cookies may affect how parts of our website work.
Sharing your data with third parties
We use a small number of trusted third-party services to run our website and communicate with you. These providers only receive the data necessary to provide their service.
| Service | Used for | Data processed |
|---|---|---|
| Google Analytics | Website usage statistics | Device/browser data, pages visited, approximate location |
| Google Search Console | Monitoring search performance | Data on how the site appears in Google Search |
| MailPoet | Sending our newsletter | Subscriber email addresses |
We do not sell your personal data, and we do not share it with any other third parties, advertisers, or data brokers.
How long we keep your data
- Newsletter subscribers — we keep your email address for as long as you remain subscribed. If you unsubscribe, we stop sending you emails and your address is removed from our active MailPoet list.
- Enquiries — enquiry details are sent to, and kept in, our email account rather than a separate database, and we do not currently apply a fixed deletion period to them. You can ask us to delete a specific enquiry at any time by emailing teddie@etdcdigitalmedia.com.
We aim to keep personal data no longer than is necessary for the purpose it was collected for.
International data transfers
Google Analytics and Google Search Console are provided by Google, which may process data on servers outside the UK, including in the United States. Where this happens, Google relies on legal safeguards recognised under UK GDPR — such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses — to protect your data.
Newsletter data collected via MailPoet is stored within our website’s own database, on our web hosting provider’s servers. We do not otherwise transfer personal data outside the UK.
Keeping your data secure
We take reasonable technical and organisational measures to protect the personal data we hold, including secure website hosting, up-to-date software, and restricted access to our email account and website administration area. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
Your rights under UK GDPR
You have the following rights in relation to your personal data:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate or incomplete data.
- Erasure — ask us to delete your data (“right to be forgotten”), where applicable.
- Restriction — ask us to limit how we use your data.
- Objection — object to our processing of your data, including for direct marketing.
- Portability — request your data in a portable format, where technically feasible.
- Withdraw consent — where we rely on consent (e.g. the newsletter), withdraw it at any time, with no effect on processing carried out before withdrawal.
To exercise any of these rights, email teddie@etdcdigitalmedia.com. We will respond within one month, as required by UK GDPR.
Changes to this policy
We may update this policy from time to time — for example, if we start using a new tool or service, such as adding a cookie consent banner. The “Effective date” at the top of this page shows when it was last updated. We encourage you to check back periodically.
